When you’re looking to scale and streamline your business, the tools and systems you use play a crucial role. But let’s address a growing issue that’s becoming more prevalent in the world of business coaching: the recommendation of the same tech stack to every client.

Of all the places I see this passed to clients it is from big-name coaches. #sorrynotsorry. There is such a huge issue with the push on the same tech tools to all their clients, regardless of their unique business model, needs, or budget. While this might seem harmless on the surface, it can be detrimental to business owners who need a more tailored approach to thrive.
Honestly, this pisses me off. The tech needs of a business coach are vastly different to an e-commerce brand or the majority of service-based businesses. From the complexity of data needed in the project management tools to the types of email automation triggers, just as a few examples, are immensely different as a business coach compared to many other business models. And business coaches who pass out copy+paste tech solutions to very client without consideration of these factors are failing to see the specific needs of the business they are working with.
In fact, I’ve seen businesses struggle because the tools recommended to them were more about the coach’s affiliate commission than their client’s specific goals. In some cases I’ve even seen it set business owners up to drown under the weight of pricey tools they were not ready for. Let’s be honest: not every business needs the same system, and what works for one entrepreneur might be a poor fit for another.
Why Systems Are NOT a One-Size-Fits-All
Every business has its unique processes, pain points, and operational needs. On top of this, the goals for future growth, client load, and cash flow predictability are also factors in choosing the right fit, Implementing the wrong tech stack can lead to confusion, overwhelm, and wasted resources.
One-size-fits-all approaches can result in systems that are overly complex or simply not optimised for your business needs. A solid system should:
- Meet your specific operational needs.
- Be easy for you and your team to navigate.
- Align with your business goals and future growth plans.
- Work within your budget.
- Create an ecosystem that holds you business together.
The Real Issue with Copy-and-Paste Recommendations
When you’re handed a copy-paste package, you risk losing the personal touch that your business might thrive on. More importantly, you may end up paying for features you don’t need or missing key functionalities that are vital to your workflow. For example, you might need a specific function within your calendar such as recurring bookings or you might have industry-specific rules that the tools you use HAVE to comply with. It’s essential to question whether the systems suggested are truly in your best interest, or whether they might serve someone else’s (like earning a coach affiliate commissions).
How to Ensure You’re Using the Right Systems
