Overcoming Burnout with Systems and Structure

If you are feeling burnout you might also be feeling some shame as it is ‘only’ early. But I promise it is NOT just you. I’ve seen it, felt it, and I’m here to say it is not only you. This year has already been intense for many people! There is also 

 

You may have personal transitions in your family, be struggling with the financial climate, be discouraged by politics, have ongoing health issues or just be plain old stressed and tired. As much as we try to pin burnout on doing too much the reality is that it is far deeper than that. It is rarely simply about working too much! 
The systems you have (or don’t have) both in life or business directly impact your energy levels, stress, and ability to actually enjoy the business you built.
So let’s talk about real, practical ways to reduce burnout and reclaim your time.

Make Use of Technology

You don’t need to juggle everything manually or mentally. Especially when you are fighting burnout, you need to get as much out of your brain as possible and reduce what you personally have to manage. Use the tools you have access to help relieve that load. Some examples
  • Set up an NFC tag at the front door so you can scan it on your way out and get a reminder at the end of the day to empty lunch boxes. Use one on your washing machine too to trigger timers to cycle loads. You can see my washing machine reminder NFC here
  • Use recurring reminders to nudge you to send weekly emails, book annual check-ups or review your 90 day plan. Again, use tech to manage the routine bits and keep you on track! 
  • Automate invoice reminders, follow-up and integrate your systems so you don’t have to manually add data from another system
  • Use templates and checklists. This is especially helpful if you struggle to get started, skip steps or know this is a job you could give someone else but you don’t have the time to tell them what you need done. 
  • Make use of a smart speaker to remind household members of their chores, routines, or activities
  • Use the notes or voicenotes on your phone to get things out of your brain, make to-do lists, or compile ideas so you aren’t keeping them in your brain. These can then be easily forwarded to your family members or team. 
  • Have a space to record your to-do list both in life and business. Even better, have a way to highlight the priorities. Remember, by having a master list you can just pick a couple of priorities so you don’t overload your daily list. 
  • Use a synced calendar so your household all knows where everyone is meant to be and you reduce the likelihood of double-booking or overcommitting, 

There are so many ways that you can use the technology you already have to lighten your load! Bit by bit, one tip, trick or hack at a time. It absolutely makes a difference. 

Charge Properly So You Don’t Need to Overcommit

I know I know – I said above that burnout isn’t just about working too much. BUT… it certainly is a sure fire way to end up in that position. And this is far more likely when you undercharge and then chase extra work just to survive. I’ve experienced it, and I’ve seen it FAR too often. Amazing women in business who are overworked to the point of exhaustion and still hardly making the money that they need. Because their expenses, rate and time are NOT aligned. 

You cannot just grab a rate you saw on a Facebook group and assume that it will work for you. This is a sure fire way to ended up bleeding money to subscriptions and having NOTHING left for yourself.

Boundaries are Non-Negotiable

Being available 24/7 isn’t the flex you might think it is. If you are anything like me – boundaries have been a hard learn! But without them we will forever drown. Now, by all means, follow your energy! If you have a particular spur of energy and joy about a project then go work on it on a juicy Wednesday night! But… do it with intention. And not by habit. 

And another big one… start practicing listening to your gut. Take a moment and reflect on the last project or 2 that kinda sucked. Maybe it was hard, frustrating, went massively overtime or you underestimated the project and lost money as a result. Did you by any chance get a little gut feeling before you even started that this was not a good fit? I’m going to take a guess at yes! And don’t worry, we have all done this. It is easy to get caught up in wanting to help someone because you know you have the solution. But from the moment you step over your intuition and your boundaries you set yourself up for a mess. 

Go back to those problem projects for me for a moment and think about what common denominators are at play. What could you do to reduce these types of issues? Maybe you need more clarity in your offer copy, a better cancellation policy, a change in the services you offer, or more filtering within your enquiry process. For one client of mine, this looked like adding a tick box that they agreed to her minimum rate when filling in an enquiry form so that boundary was already held before getting into a call with them.

Boundaries aren’t just for clients either. They apply to family, personal time, finances and even mental bandwidth. Here is the hard lesson – you do not owe anyone your energy, friendship or loyalty. It’s ok to say no. To be unavailable. To decline an invitation. To remove yourself from a group chat or resign from a toxic workspace. 

Your wellbeing is far more important. 

Build A Support System

We aren’t meant to do this alone! Please don’t underestimate the role of community when it comes to burnout! From having someone to talk to, love you in your vulnerable moments or bring you a meal – community is so valuable. That applies both in life and in business.
Your support system might be your family. But it might also be find with friends, with a gardener or cleaner, hiring team, finding a mentor, joining a local organisation, or plugging into business communities. 
 
And remember that you might not need a big budget to make a difference! A few hours a month from a cleaner, counsellor, or gardener helps more than you think. Outsourcing a single project or task in your business also makes a huge difference. (Seriously, don’t discount what can be done in a few hours if a plan is in place)

Reversing Years of Damage 

Burnout doesn’t happen overnight. It happens slowly as all the little things add up. But that also means that we can implement small changes and strategies now to help give you some space!
